Cost to Start a Prop Firm
Updated
A useful prop firm startup budget separates one-off implementation, recurring operations and cash reserves. A software setup fee is only one part of the plan. Obtain current quotes for your business model, markets, trading platform and operating scope, then compare the cash required over the same period.
Use the calculator below with your own amounts. It contains no assumed PropFirmsTech pricing or vendor rates. The editable launch budget CSV helps you record the itemised quotes and assumptions behind each entry.

Enter your own quotes and estimates in one currency. Every amount starts blank: enter 0 only where you have confirmed there is no cost. Unknown costs need an estimate before you can calculate.

Cash plan = one-off costs + (monthly spending × months) + separate reserve. Monthly spending is held constant; the reserve is added once. Revenue, financing and any omitted costs are excluded. A reserve is an allocation, not a claim about accounting expenses or a recommended minimum.
Planning aid only: not a vendor quote, legal advice or profit forecast. Amounts are used for this on-page calculation. Keep your detailed assumptions in the editable launch budget CSV.
What should a prop firm startup budget include?
The U.S. Small Business Administration's startup-cost guidance separates one-time expenses from monthly spending and recommends obtaining estimates from relevant providers. Use that general planning structure, then adapt the categories below to your firm's actual model and jurisdiction. These are procurement questions, not a list of services included in a PFT package.
One-off technology and business preparation
- Implementation: platform and CRM configuration, programme setup, integrations, testing, staff handover and any migration work.
- Brand and website: design, site content, trader communications, tracking and the specific surfaces included in your branding scope.
- Professional work: business formation, legal advice, accounting setup, contractual documents and other requirements identified by your advisers.
Ask whether a quoted setup fee covers all agreed work or only a defined configuration. Record changes, dependencies and acceptance criteria before comparing a ready-made white-label configuration with a custom implementation.
Recurring technology and operations
- Technology commitments: platform access, the CRM and trader dashboard, hosting, monitoring, data and any separate provider minimums.
- People and services: support, risk review, finance, engineering, legal/accounting and the owners of manual exceptions.
- Acquisition: the marketing, creative and affiliate activity you actually plan to run, including commission treatment after a refund.
- Usage-dependent costs: identity checks, orders, active accounts, transactions or other contracted billing units. Record both the unit price and your assumed monthly volume.
A fixed monthly estimate is useful for comparing scenarios, but it does not model volume changes automatically. Recalculate when expected activity, fees, staffing or commitments change. Check renewal terms and annual invoices separately; allocate them consistently in your worksheet and retain the actual payment dates in your cash-flow plan.
Reserves and payment timing
Keep a separate record of the cash your firm decides to set aside for reward obligations, refunds, provider holds and contingencies. The calculator adds your reserve allocation once. It does not determine an adequate reserve or establish legal capital requirements, provider eligibility or the timing of settlement.
Read the payment integration guide before assuming a processor will accept your business. A payment quote, approval, settlement balance and reward-payment obligation are different inputs. The payout reconciliation checklist helps define the records to review.
Compare quotes on the same scope
Ask each provider to answer the same questions and attach the evidence to your budget:
- What is included? List the staff and trader surfaces, platform connections, branding, migration and handover deliverables.
- What triggers a charge? Separate setup, fixed recurring, usage, minimum commitment, support and third-party fees. Record taxes and currency separately.
- Who contracts the dependency? Identify the agreement owner for each trading platform, identity provider, payment provider and hosting service.
- What remains manual? Assign staffing and escalation for risk reviews, failed provisioning, payment exceptions and customer support.
- How do changes and exits work? Ask about renewal, cancellation, exports, migration assistance and the cost of work outside the original scope.
The CRM evaluation scorecard includes an editable RFP template. Use it alongside the budget: a lower price for a different scope is not a like-for-like comparison. Confirm the current PFT scope and fees in a written proposal rather than treating this planning page as an offer.
Questions founders ask about prop firm costs
How much does it cost to start a prop firm?
The answer depends on your actual quotes, operating model, services, staffing and reserve decisions. Start with an itemised scope, enter confirmed or explicitly estimated amounts in the calculator, and compare the 3-, 6- and 12-month totals. Do not treat a single technology price as a complete business budget.
Is white-label software always cheaper than a custom build?
Compare the same required workflows, period, internal workload and exit obligations. A white-label offer and a custom build can put different work on your team or other providers. Use the software scope guide to define what you are comparing before drawing a cost conclusion.
Does the calculator estimate profit or the minimum capital required?
No. It sums the amounts you enter over a constant-spending period and adds the reserve allocation once. It excludes revenue, financing and any costs you omit. It is not a profitability model, a reserve recommendation or a determination of legal or provider requirements.
How do I handle an unknown cost?
Keep the item marked unknown in the CSV and request an estimate from its owner. The calculator requires all six amount fields; enter zero only for a confirmed zero cost. An estimate should retain its source, date and activity assumption so it can be revised.
